Administrative Assistant Position

Montessori School of Beaverton (MSB) is a nationally recognized private school serving the Portland metro area. The school was established over 40 years ago and is located in Portland’s northwest hills on a beautiful 6 acre campus. MSB is home to a thriving and vibrant community of dedicated staff and families invested in the education, development and nurturing of its 180 students, ages 3 – 12.

Position: The Administrative Assistant is a key staff member within our front office team. They are the first point of contact with our community and an essential component to the smooth running of the school.

Responsibilities:

  • Serves as the front office receptionist. Meet and greet all guests in person or via the phone with courtesy and compassion.
  • Responsible for safety and well being of children during daily arrival and dismissal or in the case of illness.
  • Manage all student records efficiently and assure they are in compliance.
  • Provide administrative support to all staff.
  • Coordinate school and staff events. Work at these special events as needed.
  • Work with staff to determine and edit content of the weekly newsletter.
  • Closely follow the school calendar to anticipate the appropriate communication and preparation as needed.
  • Assist with processing accounts receivable and payable.
  • Schedule classroom observations in accordance to guidelines.
  • Purchase office and classroom supplies.
  • Work as part of the administrative team.
  • Maintain confidentiality of all records and school matters.

Skills and Qualifications 

Required:

  • Self-starter with strong work ethic and ability to work alone, often without supervision.
  • Excellent communication skills, both oral and written.
  • Ability to interact with children, staff and parents in a dynamic work environment.
  • A positive, up-beat attitude and desire to be part of a team.
  • Strong organizational skills with an ability to prioritize and multi-task.
  • Proficient with Google Aps, MS Office, and databases.
  • Ability to work with many different groups and individuals.

Preferred:

  • Previous reception or customer service experience.
  • FileMaker experience.
  • Minimum of 2 years of office work.
  • Montessori knowledge and/or background.

Compensation/Benefits:

  • This is a year around position with 35-40 hours a week during the school year and approximately 30-35 hours a week during the summer.
  • Pay range: $17.25 – $17.75 per hour
  • Paid vacation, including spring and winter breaks.

Part-Time Admissions Coordinator

Montessori School of Beaverton (MSB) is a nationally recognized private school serving the Portland metro area. The school was established 38 years ago and is located in the northwest hills on a beautiful 6 acre campus. MSB is home to a thriving and vibrant community of dedicated staff and families invested in the education, development and nurturing of its 180 students, ages 3 – 12.

Objective:The person that we hire for this job will apply their skills to educate and guide potential new families through the application process. This position is part time, working 15 hours a week year around.

Responsibilities:

  • Manage enrollment: maintain waiting lists, make acceptance decisions in consultation with staff, and oversee annual re-enrollment of current students.
  • Communicate via email and phone with parents interested in considering MSB for a child.
  • Forecast enrollment of upcoming school year, strategize to maximize the ideal number of students per class.
  • Represent MSB at school fairs in the evening and weekends.
  • Facilitate observations and interviews for prospective parents.
  • For prospective kindergarten age or elementary students, coordinate with teachers to review and interview.
  • Maintain statistics and information pertaining to all prospective families during the application process, as well as exiting students.
  • Maintain statistics for students who withdraw.
  • Meet with current and prospective parents as needed to facilitate the admissions process.
  • Observe in the classrooms on a regular basis.
  • Maintain admissions guidelines; update and recommend changes to policies and procedures.
  • Work as part of the administrative team.
  • Provide assistance to teachers, staff, students, or parents as needed.
  • Maintain confidentiality of all records and school matters.

Skills and Qualifications 

Required:

  • Self-starter with strong work ethic and ability to work alone, often without supervision.
  • Excellent communication skills, both oral and written.
  • Should be highly skilled in the following areas: interpersonal relationship building, analytical thinking, organization, time management, problem solving, attention to detail, and decision-making.
  • Proficient with Google Docs, Google Sheets, MS Word, and EXCEL. Experience with FileMaker a plus.
  • Ability to work with many different groups and individuals.

Preferred:

  • Montessori knowledge and background
  • Ability to articulate Montessori theory and classroom implementation.
  • CPR/First Aid certified.

Compensation/Benefits:

  • Hourly pay rate range from $17.00 – $17.50 depending on experience.
